Logging in

How do I log into MyPeopleHub?

If you have a kaefer.com email address you will log in automatically using Single Sign-On (SSO) from a work laptop.

If you have a personal email address (normally weekly paid colleagues) you will log in using your personal email address and a password of your choosing.

To access the system, use the button above on the homepage ‘Access MyPeopleHub’.

Can I access MyPeopleHub on my phone?

If you use a personal email address, you can log into MyPeopleHub using your personal email and password on a personal mobile (non-work issued device).

How To Login Guide_Weekly Paid Colleagues

If you have a kaefer.com email address you will be able to access MyPeopleHub using a work issued mobile device.

You will be able to log in securely using the authenticator app.

If you require access to MyPeopleHub using your work issued mobile device, contact MyPeopleHub@kaefer.com requesting instructions of how to log in.

What should I do if I can’t log in?

Follow the instructions provided in the User Guides, on the MyPeopleHub homepage. If you still can’t access the system, contact MyPeopleHub@kaefer.com.

Viewing Your Pay Documents

Where can I find my payslips and P60?

You can view your payslips in the tile called MyDocuments from the MyPeopleHub homepage.

When will my payslip be available?

Payslips will be available before you are paid, in line with your normal pay schedule:

  • Weekly paid colleagues will be notified (via email) that your payslip is ready to view, each Wednesday morning.
  • Monthly paid colleagues are typically notified (via email) the day before payday that your payslip is ready to view. Payday is the 25th of each month.

Will I still get a paper payslip?

Payslips are digital, by default. You can view or download them anytime.

Updating Your Personal Details

Can I update my personal details?

Yes, you can update personal details such as your email address and emergency contact, directly in MyPeopleHub.

Why is it important to keep my details up to date?

Keeping your personal details up to date is essential. Accurate information ensures we can reach you or someone on your behalf, quickly and appropriately when it matters most, especially in an emergency.

Please make sure your contact information (including your email address) is kept up to date and continually reflects your personal circumstances.

How quickly are updates applied?

Changes are applied in real time within MyPeopleHub.

Annual Leave Balances

Where can I see my annual leave balance?

You can see your leave balance in MyPeopleHub – you will be able see what your entitlement is, what you’ve taken and what you have left.

We are actively working on enhancing the colleague experience to ensure that all colleagues can request annual leave within MyPeopleHub. Further communications will follow.

Does the balance update automatically when I have leave approved?

Yes, your Annual Leave balance updates in real time.

Reporting Sickness

What should I do if I am sick and cannot come to work?

In accordance with the Absence Procedure; Employees must personally contact their line manager by telephone as soon as possible on the first day of any absence (unless the absence has been previously authorised) and within one hour of their start time

What information do I need to give?

You should provide:

  • Your name
  • Your role or site
  • The reason for your absence
  • When you expect to return (if known)
  • Any relevant information about your work activities

Who records my sickness in the system?

If you are a monthly paid colleague, your Line Manager will record your sickness in the system. This will include:

  • Absence reason
  • Start date
  • Expected return date

The existing process for weekly paid colleagues is under review. Your Line Manager or Site Administrator will record the sickness in the system. This will include:

  • Absence reason
  • Start date
  • Expected return date

Why is it important that sickness is recorded correctly?

This ensures:

  • You are paid correctly
  • The business has accurate records
  • We can support your wellbeing appropriately
  • Fit Notes (Doctor’s Notes) are recorded and managed correctly

When do I need to provide a fit note?

In accordance with the Absence Procedure; For absences lasting more than seven calendar days, medical certificate(s), or doctor’s fit note must be provided by the employee to their manager, the Payroll Department and the People & Development Department to cover the absence. Where the absence is covered by more than one medical certificate there must be no gaps in dates.

If an employee fails to certify their absence, then it may be considered unauthorised absence. This could result in the need to take disciplinary action and/or loss of sick pay.

What if my fit note is extended?

You should provide an updated fit note to cover the full period of your absence. If you are a monthly paid colleague, please send your fit note to your line manager who will update your absence in MyPeopleHub in accordance with your fit note end date.

Do I need to stay in touch while I’m off sick?

In accordance with the Absence Procedure; It is important to connect with the business whilst you are off sick. Employees who are absent must maintain regular contact with their manager.

What happens when I return to work?

In accordance with the Absence Procedure; your Line Manager or Supervisor must complete a short return-to-work form with you, on your first day back at work.

Will I be paid when I am off sick?

Please check your contract of employment for details of sick pay entitlement.
